Denial Tracking (Module RW Denial Tracking Required)
Denial tracking
traces information when a new reservation is begun but not completed.
When enabled, a reason must be selected from the drop-down to describe why the guest did not book before fully
abandoning the reservation request. When quotes or rates are not
calculate, a reason is not required. Reasons
can be added when necessary based on the user's security access level.
Keys and reasons are saved to the RESDENY.DAT file.
When Close is clicked on the New Reservation screen, the system closes the
New Res screen without prompting for denial information.
- Denial Reason
- Select a reason that best describes why the guest chose not to book the reservation. Click Create Reason if the desired selection is not available. This is a required field.
- Source of Business
- Select the source of business code (Table CD) associated with the guest. This field is only available when configured. When available and when Switch 109-07 "Allow Source of Business Default Code 00)" is set to No, this field is required.
- Market Code
- Select the market code (Table CF) associated with the guest. This field is only available when configured. When available and when Switch 424-06 "Use Market Code PN for New Preassign and Inventory Reservations" is set to No, this field is required.
- Create Reason
- Click the "Create Reason" button to open the Add Denial Reason screen. This button is disabled for users with less than appropriate security levels. See UI Security. Once "Save & Close" is clicked, the new reason is added to the database
in Table DX and selected as the guest's explanation for not booking the reservation, and both the Denial Reason screen and the New Reservation screens are closed.
-
- Reason
- Enter text to describe the explanation of denial using up to 30 characters. This is the text displayed in the Denial Reason drop-down list, but only the key is stored for reference.
- Key
- Enter up to six characters to describe the denial information. The text entered in the Denial Reason field is not saved in a file, but the key is saved in the RESDENY.DAT file. When selected from the Denial Reason drop-down, the text is displayed and not the key. The system automatically verifies the key is unique. If not, the user is prompted to enter a different key and continues until the entry is unique. Warning: When adding keys, be careful not to add duplicate reasons with different keys. Search the reason list thoroughly before adding a new keys.
- Disable
- Disable old or unused denial tracking types without deleting the type. Select the Y from the drop down next to the type in the Disable field. The type will still display in the configuration list but will not be available when selecting it from a reservation. The type can also be disabled from the Reservations menu --> Configuration --> Denial tab --> select the Y from the drop down next to the type in the Disable field.
