Make New Res for Paying Guest Without Guest History

  1. Select New Res and Paying Guest from the Reservations main menu.
  2. Highlight the number in the Nights field and change it to "6".  Up and down-arrows are available as well.

    Note: When up-arrows or down-arrows are referenced in this document, we are referring to the arrows used to choose or select data from an available table. These references are not to be confused with the arrows on any scroll bars, which are use to view additional information too large to fit to the screen.

  3. Change Room Type to 2B.  If Room Type, Guest Name, or any of the search dates are changed after the Show Availability button is clicked, the rate plans are reset.  A warning will appear before the reset is complete.
  4. Click "Available Rooms".  All rooms available for the chosen dates are displayed based on the room type selected in the New Res screen.
  5. Select "NSK" using the preference drop-down labeled SMK to display all non-smoking rooms first in the grid.  Room 206 should be highlighted in the grid.
  6. Click Select.
  7. Click the Rate Plan drop-down.
  8. Type R on the keyboard to scroll to "RACK".
  9. Click anywhere to select "RACK".
  10. Click Make Reservation.  Since no guest history was selected, the system prompts with "no Guest History chosen.  Would you like to choose now?".
  11. Click No.
  12. Enter "Monica Geller" in the Name field.
  13. Click Tab to move to the Address 1 field.  The system changes the format of the name to Geller/Monica.
  14. Enter 555 First Avenue, Manhattan, NY 10016 as the address.
  15. Enter (212) 555-1212 as the telephone number.
  16. Click "Save & Close".  The system posts "New Reservation Successful" and lists the reservation number, dates, and guest number.
  17. Click OK.
  18. Click on Find and Guest History from the Masters main menu.
  19. Enter "Geller" into the Name field.  The entries made above have been saved into the Guest History for Monica Geller.
  20. Click Close.
  21. Click Start from the main menu.

Make New Res for Paying Guest with Guest History

  1. Select "New Res" and "Paying Guest" from the Reservations main menu.
  2. Highlight the number in the Nights field and change it to "6".  Up and down-arrows are available as well.

  3. Click the Find button associated with Guest History.
  4. Enter "1" into the Number field.
  5. Click Find associated with "Guest Number".  Guest History for Birch/Kenny is selected as an existing guest.
  6. Confirm "Room Type" is set to 1B. 
  7. Click "Available Rooms".  All rooms available for the chosen dates are displayed based on the room type selected in the New Res screen.
  8. Select "NSK" using the preference drop-down labeled SMK to display all non-smoking rooms first in the grid.
  9. Uncheck "Show Filtered Out Rooms" to ONLY show non-smoking rooms in the grid.
  10. With Room 703 selected in the grid, click "Room Detail" to view the room master.
  11. Click Close.
  12. Select 3AAA from the Rate Plan drop-down to assign that rate to the entire reservation.
  13. Click Make Reservation to open the Change Reservation screen.
  14. Click "Save & Close".  The system prompts with "New Reservation Successful" and lists the reservation number, dates, and guest number.
  15. Click OK.
  16. Click Start from the main menu.

Make New Res with Travel Agent

  1. Select New Res and "Paying Guest" from the Reservations main menu.
  2. Click Find associated with Agent#1.
  3. Enter "204" in the Agent# field.
  4. Click Select.
  5. Change Arrival Date to Sun., 5/8/98.
  6. Change Nights to "3".
  7. Click Available Rooms.
  8. Highlight Room "602" and click Select.
  9. Click the Rate Plan down-arrow and select "B230 - Spring Package".
  10. Click "Make Reservation".  The system prompts with "No Guest History chose.  Would you like to choose now?".  Click Yes.
  11. Enter "7" in the Guest# field.
  12. Click Find associated with Guest#.
  13. Click "Make Reservation". 
  14. Click the Agents tab to view travel agent commission and code information.
  15. Click Save & Close.  The system prompts with "New Reservation Successful" and lists the reservation information.
  16. Click OK.
  17. Click Start from the main menu.

Make Owner Reservation

  1. Select New Res and Owner from the Reservations main menu.
  2. Enter "112" into the Owner# field.
  3. Click Find associated with Owner#.  Owner #112's name, Brooks/Garth, is displayed in the New Reservation screen.  The Room# owned is also selected and its clean status displayed.

    Note: Click "Days Used" to view use history and Detail to view the owner master information.  If Switch C1MAXNTS is set to one or greater and an owner has used the same number or more nights than that number, the system displays a warning, "Owner has exceeded the maximum nights allowed.  Continue with new reservation?"  Answering yes allows the reservation to be made.  When the switch is set to zero or blank, the system considers this a "no limit set", so no message is displayed.  If the total number of days used is displayed in red, the owner is over the allowed limit for the year.

  4. Change Arrival Date to Sun., 3/8/98.
  5. Highlight the number in the Nights field and change it to "7".  Up and down-arrows are available as well.

  6. Click Make Reservation to open the Change Reservation screen.
  7. Click "Save & Close".  The system prompts with "New Reservation Successful" and lists the reservation number, dates, and guest number.
  8. Click OK.
  9. Click Start from the main menu.

Make Guest of Owner Reservation

  1. Select New Res and "Guest of Owner" from the Reservations main menu.
  2. Enter "205" into the Owner# field.
  3. Click Find associated with Owner#.  Owner #205's name, Elway/John, is displayed in the New Reservation screen.  The Room# owned is also selected and its clean status displayed.

    Note: Click "Days Used" to view use history and Detail to view the owner master information.  If Switch C1MAXNTS is set to one or greater and an owner has used the same number or more nights than that number, the system displays a warning, "Owner has exceeded the maximum nights allowed.  Continue with new reservation?"  Answering yes allows the reservation to be made.  When the switch is set to zero or blank, the system considers this a "no limit set", so no message is displayed.  If the total number of days used is displayed in red, the owner is over the allowed limit for the year.

  6. Click the Find button associated with Owner.
  7. Click "Make Reservation" to open the "Change Reservation" screen.
  8. Click "Save & Close".  The system posts "New Reservation Successful" and lists the reservation number, dates, and guest number.
  9. Click OK.
  10. Click Start from the main menu.

Make a Maintenance Reservation

  1. Select New Res and Maintenance from the Reservations main menu.
  2. Change "Arrival Date" to 4/12/98.
  3. Highlight the number in the Nights field and change it to "7".  Up and down-arrows are available as well.

    Note: When up-arrows or down-arrows are referenced in this document, we are referring to the arrows used to choose or select data from an available table. These references are not to be confused with the arrows on any scroll bars, which are use to view additional information too large to fit to the screen.

  4. Enter "Annual Maintenance" in the "Removal Reason" field.
  5. Enter "310" in the "Room Number" field (or choose from the drop-down).
  6. Enter "Repaint both bedrooms and replace all carpeting." in the Notes section.
  7. Click "Make Reservation".
  8. The system posts "New Reservation Successful" and lists the reservation information.
  9. Click OK.
  10. Click F3 Find Res in the system toolbar.
  11. Enter 405 in the "Guest Name or Reservation Number" field.
  12. Click the associated Find button to display the maintenance reservation recently entered.  The system uses the "Removal Reason" as the name on the reservation.
  13. Click Start from the main menu.

Quote

  1. Select "New Res" and "Paying Guest" from the Reservations main menu.
  2. Highlight the number in the Nights field and change it to "6".  Up and down-arrows are available as well.
  3. Change people categories to Adult =2, Child =1.
  4. Click "Available Rooms".
  5. In Preferences, select "2$" to select one bedrooms with moderate pricing, and NSK for non-smoking.
  6. Highlight Room# 224 (if not already) and click Select.
  7. Click the Rate Plan drop-down.
  8. Type R on the keyboard to scroll to "RACK".
  9. Click anywhere to select "RACK".
  10. Click Quote to display the sample rate in the Quotes area.
  11. Click the Rate Plan drop-down.
  12. Type R on the keyboard to scroll to "3AAA".
  13. Click anywhere to select "3AAA".
  14. Click Quote to display the sample rate in the Quotes area.  The most recent quote is displayed first.  View the "Last Quoted Totals" area for a simple breakdown of the most recent quote.
  15. Double-click the RACK quote to restore the RACK quote to the New Res form (Rate Plan=RACK, Last Quoted Total=107).
  16. Double-click the 3AAA quote to restore the 3AAA quote to the New Res form (Rate Plan=3AAA, Last Quoted Total=96.30).
  17. Click Close.
  18. Click Start from the main menu.

Yield Management

  1. Select New Res and Paying Guest from the Reservations main menu.
  2. Highlight the number in the Nights field and change it to "5".  Up and down-arrows are available as well.

  3. Change Room Type to 2B.
  4. Click "Available Rooms".  All rooms available for the chosen dates are displayed based on the room type selected in the New Res screen.
  5. Select "NSK" using the preference drop-down labeled SMK to display all non-smoking rooms first in the grid. 
  6. Highlight Room 815 and click Select.
  7. Click the Rate Plan drop-down.
  8. Type R on the keyboard to scroll to "RACK".
  9. Click anywhere to select "RACK".
  10. Click the "Yield Mgmt" button.
  11. In the Totals area, the RACK rate is assigned to all five days of the reservation.  Hover over the rate for Tuesday, 3/3/98 and click the down-arrow that appears.
  12. Select 3AA from the list to assign that rate to that date only.
  13. In the middle section, click the 3AAA rate for Tuesday, 3/3/98 to change the rate to 3AA for that date and the remainder of the reservation.
  14. At the bottom of the screen, the Room Type drop-down displays "1B - One Bedroom" (not the type selected in the reservation but the first type in the list of all room types).  Click "Room Type Info" to view the information page for that room type.
  15. Note:  If a "Room Type Info" does not have an associated demo file, the system displays, "The files rdp1202\Help\011BR.RTF or rdp1202\Help\1BR.RTF does not exist.  Please create one of these files and try again."  Our demo files only offer a sample for the 1BR.

  16. Click Close.
  17. Click Start from the main menu.

Top

Room Detail

  1. Select "New Res" and "Paying Guest" from the Reservations main menu.
  2. Click "Available Rooms"
  3. Highlight any room number.
  4. Click the Room Detail button to view the room master information for the selected reservation.
  5. Note:  The Detail button next to the Available Rooms button on the New Reservations screen has the same function.

  6. Click Close.
  7. Click Close again.
  8. Click Start from the main menu.

Top

Tape Chart

  1. Select "New Res" and "Paying Guest" from the Reservations main menu.
  2. Click the Arrival down-arrow to show the calendar function.
  3. Click 4/4/98 to select it as the "Arrival Date".  Since Nights is set to "1", the system changes the "Departure Date " to 4/5/98.
  4. Click "Tape Chart" to display reservations for the selected dates.
  5. At the "Either enter a room number or use the drop-down to select one and then click 'Find Room'", click OK to highlight the Find field.
  6. Enter "723" and click "Find Room" to view detail of Room 723 starting on 4/4/98 through the following four weeks (default setting).  Changing dates and/or room numbers on the Tape Chart do not make changes to the New Res form.
  7. Close the Tape Chart using the button.
  8. Click Close.
  9. Click Start from the main menu.
