Tutorial - Work Orders - Asset Management

Specific references within this tutorial to specific screen displays may differ if data/demo files have not been updated.  It is advised that users get new data files before beginning a tutorial.

View Resort Assets

  1. Select Assets from Work Orders in the main menu. Assets are displayed in the grid.
  2. Click on the Vendor column heading, and drag it to the grouping area (gray area above the grid).
  3. Right-Click and select "Expand All" to view all assets by Vendor.
  4. Click on the Vendor column heading in the grouping area and drag it back onto the grid.

Add an Asset

  1. Select Assets from the Work Orders main menu.
  2. Select Add Asset from Options.
  3. Select Furniture from the Asset Type drop-down list.
  4. Select Camille's Decor, Inc. from the Vendor/Supplier drop-down list.
  5. Select 104-Room from the Location drop-down list.
  6. Select Installed from the Status drop-down list.
  7. Type "LR Foot Stool" into the Description field.
  8. Click the Save button.  The new asset is displayed at the top of the grid.

There are optional fields for Part Number, Serial Number, Cost, and Mark-Up Percentage on the Details tab, as well as the Comments tab and the Notes tab for any additional entries necessary.  These fields are not mandatory.

Add Multiple Assets

  1. Select Assets from the Work Orders main menu.
  2. Click on the in the Type column and sort the grid by Type until the first item is VCR.
  3. Highlight Type=VCR, Description=Sony Stereo VCR.
  4. Click Add Multiple Assets from Options.
  5. Click Yes to copy the selected asset.
  6. From the Add Multiple Assets form, check Room Numbers 104 through 108.
  7. Click the Save button.
  8. The system prompts, "Add additional location?"  Click No.
  9. The Resort Assets grid displays the VCRs in Rooms 103-108.

Change an Asset

  1. Click on Navigation from the Work Orders main menu.
  2. Click on Assets.
  3. Click and drag the Type column heading to the grouping area (gray area above the grid).
  4. Click the to expand the Type=Electrical group.
  5. Highlight the Description=Refrigerator, Location=Storage Tower2 asset.
  6. Click on Change Assets from Options.
  7. Change the Vendor/Supplier to Skip's Refrigeration.
  8. Change the location to Storage Tower 1.
  9. Click the Save button.  Changed asset is displayed at the top of the grid.

Export Assets to Excel

  1. Select Assets from the Work Orders main menu.
  2. Export Monitor to Excel from Options. (Also available in right-click menu).
  3. Enter an appropriate path to save the Microsoft Excel document.  Remember where you saved it!
  4. Click the Save button.
  5. Open the document in Microsoft Excel and manipulate to user's needs.  See Charting Tutorial for additional information.
