Tutorial - Reservations - Availability

** Refers to new or updated subjects in this tutorial.

Specific references within this tutorial to specific screen displays may differ if data/demo files have not been updated.  It is advised that users get new data files before beginning a tutorial.

  1. Select Availability from the Reservations menu.

    Note: The Start Date is set to the current system date + 0 as a default.  The formula for calculating this date is "Starting Date = Current Date + Starting Days." This can be altered to any number between 0 and 56 by clicking the up- or down-arrows on the Availability Configuration tab.

  2. Confirm or change the Days to 8.  There is a configuration option to allow the starting number of days to be set to anything between 1 and 100 days.  See the Availability Configuration tab.  It is also possible to change the number of days for just one time by clicking the up- or down-arrow to the desired number.  
  3. Note:  The user can set the Number of days two ways: (a) Confirm that 8 is the number in the Days box and use the Next> button to view 8 days at a time on the screen; or (b) use the up-arrow, or type into the box using the keyboard, to set the number of Days a much larger number, and use the scroll bar to view the information not viewed on the screen. For purposes of this tutorial, set the number of Days to 8.

    Note: When up-arrows or down-arrows are referenced in this document, we are referring to the arrows used to choose or select data from an available table. These references are not to be confused with the arrows on any scroll bars, which are use to view additional information too large to fit to the screen.

  4. Confirm the Group radio button is selected.  Group is the system default setting, but it can be changed to Room Type on the Availability Configuration tab, if needed.
  5. Confirm the Available Only radio button is selected. The default configuration for Availability is set to Available Only.  The user can change the default to show the number of rooms blocked, as well as availability, by selecting the Block /Available radio button on the Availability Configuration tab. 

    Note: Selecting the Block/Available radio button would show availability, for example, as 15/9 or 9 rooms available in a room block of 15.  Room types that are currently sold out would be shown as a gold zero (0) or in this example, 15/0.  If the room type was overbooked, the amount overbooked would be in red such as 15/ -2

  6. Click the Display Blocks button.
  7. Click the icon to the left of House to expand the Totals row to show the individual details within the block.
  8. Click the Next > button to display the next 8 days (3/9/1998 - 3/16/1998).
  9. Click the Next > button again to display the next 8 days (3/17/1998 - 3/24/1998).
  10. Click the < Prev(ious) to display the previous 8 days (3/9/1998 - 3/16/1998).
  11. Click the <<Today button to return the display to the system date  (3/1/1998 - 3/8/1998).
  12. Click the Start option from the main menu.
