Tutorial - Housekeeping - Long Term Cleans

Specific references within this tutorial to specific screen displays may differ if data/demo files have not been updated.  It is advised that users get new data files before beginning a tutorial.

How To Configure Long Term Cleans

When cleans are required that stretch over more than one day's shift such as a spring cleaning or maintenance week, use the following steps to configure cleans and schedule using maintenance reservations.

  1. Select Configuration from the Housekeeping main menu.
  2. Click the Clean Types tab.
  3. Click "Add Clean Type".
  4. Create a Clean Type (such as “Spring Clean”).  Set ID to "S", Clean Type to Spring Clean, and Default Clean Time to 480 minutes (8 hours).  The Default Fixed Cost can also be entered for cost tracking, but it is not necessary.
  5. Click Save.
  6. Click the Service Types tab.
  7. Click "Add Service Type".
  8. Create a Service Type (might also be called “Spring Clean”) for the extended clean.
  9. Save.
  10. Click the Clean Patterns tab.
  11. Choose Spring Clean from the Service Type drop-down.
  12. Click Display.
  13. In Row 1, Column 1, select Spring Clean from the drop-down.
  14. In Row 2, Column 1, select Spring Clean from the drop-down.
  15. In Row 2, Column 2, select Spring Clean from the drop-down.  There is no need to configure more than the one and two-night stays. The pattern is repeated for any longer maintenance reservations.
  16. Save & Close.
  17. Click Start from the main menu.

How To Schedule Long Term Cleans

  1. Select Maintenance from the Reservations --> New Reservations menu.
  2. Change Arrival date to 09/16/98.
  3. Change Nights to 7. 
  4. Enter "Spring Cleaning Week" in the Removal Reason.
  5. Select Room Number 103 from the drop-down.
  6. Click Make Reservation.
  7. At the Continue With screen, click the "This Res" button.
  8. Double-click the reservation in the grid or click Change from Options.
  9. Click the Housekeeping tab.
  10. Change the Service Type on the reservation to the new Service Type (Spring Clean).
  11. Click Comments tab.
  12. In the Housekeeping comment space, enter "Deep clean furniture."
  13. Save & Close.
  14. At the bottom of the screen, click the Comments tab and the Housekeeping tab to review the detail.
  15. Click Start from the main menu.
