Carefree Resorts - Long Term Reservations

Long Term Reservations allow for different rate plans to be selected for the monthly rent. These features are enabled the Choice of Long Term Rate Plans radio button is selected from the Reservation Configuration --> Long Term tab. This switch allows the user to select the from a list of configured long term rates. This is used instead of having one rate plan configured for long term reservation or using the Monthly Rent field on the Long Term Dates screen. Long term rate sets must be configured for this feature to work properly.

Changing Reservation from Annual to Monthly.

Reservations can go from annual reservations, to monthly reservations and vice versa. These changes require different rate plans, and the existing rent to be adjusted properly. In order to adjust the rate, set switch 419-42 to Yes to convert entire stay when rate is changed. This removes the original room charge transactions and posts them using the new rate.

When changing the reservation dates, the system completes the following:

  • Sum all rental transactions and create one reversal rent transaction, which will accrue to the GL on the current system date.
  • Calculate the prior months with the new rates and post a rent transaction for the total, which will accrue to the GL on the current system date.
  • Change all future rent transactions to correspond to the new rate plan.
  • Back out the daily revenue amount for the reversal transaction for the length of the stay to date in the statistics totals. The system will read each post rental transaction and divide the revenue reversal in the same way it was originally totaled.
  • Add to the statistics the new daily totals for the length of the stay to date. This is done month by month to get the proper daily totals even though the rental transaction has a summary amount.
