Configuration Steps

  1. System Administrators should review the IRM.Net Installation Notes.
  2. Confirm these three switches for IRM.Net on the Owners tab are set correctly for the customer: Use IRM.Net for Owner screens, Allow "OLD" owners access to IRM.Net screens, and Allow owner payments.
  3. In RDPWin, set owner Default Statement Report.  Navigate to the Owners | Configuration page in RDPWin and make sure the default statement report has the UNC in it and NOT the drive letter. The statement does not print when the drive letter is in the name of the default report.
  4. On the Misc tab, the two e-mail confirmation switches should be set to determine whether or not confirmations should be sent through RDPWin Monitor. If so, confirm the RDPWin Monitor is configured correctly to send owner and "guest of owner" confirmations from the IRM.  If not (which is the default setting), go to the Confirmations tab and configure the confirmations to be sent.  There are two tabs within the Confirmations tab that require attention. It is very important that the name of the report and any attachments have the UNC and not the drive letter. New Crystal reports may be required for the confirmations.
  5. Using the IRM.Net | Configuration | Confirmation tab in RDPWin, enter all the necessary information in order to e-mail, preview, and print confirmations in IRM.Net. The customer can have a separate confirmation for IRM reservations versus RDPWin reservations, and separate confirmations for owners versus "guest of owners".  When a confirmation report is not specified, Reports10\Confirmations\NewRes.rpt is used.
  6. Review and confirm all other RDPWin IRM.Net configuration settings.
  7. The Number of months in the future to display paying guest reservations switch is different than the old IRM. In IRM.Net, a setting of "0" means NO future paying guest reservations will display.  In the old IRM, a setting of "0" meant ALL future paying guest reservations would display. Confirm this switch is set accordingly.
  8. Copy the files from inetpub\wwwroot\IRM\UserText\BlockReasons to inetpub\wwwroot\IRMNet\UserText\BlockReasons.
  9. Add any newsletters or documents the property wants to allow owners to view into the inetpub\wwwroot\IRMNet\UserText\OwnerNewsletters folder.

Owners Tab

General
Allow Owner Reservations
When checked, the IRM allows owner reservations to be made.  This only pertains to those customers with owners of individual units: timeshare and whole ownership condominiums.
Use Owner Rotation on Room List (Switch 423-11)
When checked, rooms are rotated for owner and guest of owner reservations and works like the RDP-DOS Switch 423-11.
Default Owner Rate Plan
Disabled when Calculate Rates for Owner Reservations (Switch 319-09) is not checked, select the default rate plan to use for owner reservations.  The code entered here must be a valid (existing) rate plan.  Define a rate plan in this field ONLY if the property accepts IRM reservations for condominium or timeshare owners.
Default Guest of Owner Rate Plan
Disabled when Calculate Rates for Guest of Owner Reservations  (Switch 319-10) is not checked, select the default rate plan to use for guest of owner reservations.  The code entered here must be a valid (existing) rate plan.  Define a rate plan in this field ONLY if the property accepts IRM reservations for condominium or timeshare owners.
Use IRM.Net for Owner Screens
When checked, the IRM goes to IRM.Net when the owner access type is selected on the IRM.
Allow OLD Owners Access to IRM.Net Screens
When checked, owners with type ‘OLD’ can log into IRM.Net, but only see limited information.  Old owners are allowed to send management an e-mail, owner detail, reservation listings (which only display owner and guest of owner reservations), and statements.  When not checked, (default setting), a message displays "Access Denied – Owner Type = 'OLD'" on the Owner Logon screen.
Allow Owner Payments
When checked, owners are allowed to make credit card payments to their owner master online through IRM.Net.  The property must have Southern DataCom (SDC) in order to use this feature.
Allow Owner and Guest of Owner Reservations w/o E-mail Address
When checked, reservations can be made without using an e-mail address.  When no e-mail address exists, no confirmation is sent via e-mail.  The confirmation should be printed and mailed.  When not checked, an e-mail address is required.
Text for Newsletters Option in Owner Menu
Enter the text to replace the Newsletters option on the Owner menu. Up to 40 characters are allowed. The default text in the configuration is "Newsletters".  When two lines/rows are needed, include <br> in the text.  For example, "Owner Documents <br> and Minutes" displays as shown below:

Text for Send Mgmt an E-mail Menu Option
Enter the text to replace the "Send Mgmt an E-mail" option on the Owner menu. Up to 40 characters are allowed.  When two lines/rows are needed, include <br> in the text.  For example, "Owner Notice <br> and Request" displays as shown below:

Detail Page
Hide Recurring Charge Fields
When checked, the nine Recurring Charge fields do not display on the IRM owner detail screen.
Hide Balance Due Field
When checked, the balance due field does not display on the IRM owner detail screen.
Reservation Listing Page
Show Cancelled Reservations
When checked, owners can see cancelled reservations on their res listing screen.
Show Total Room Charge
When checked, owners can see total room charges on their future reservations listed on the res listing screen.
Show Checked Out Reservations for Current and Last Month Only
By default, the res listing screen displays all future and in-house reservations and no past reservations. When checked, owners can view past reservations for the current and previous months only.
Show Guest Name on Paying Guest List
When checked, the guest name is displayed on the Res Listings page.
Hide Guest Name on All Reservations
When checked, no names are shown on the View Reservations list in IRM.Net (including owner and guest of owner reservations) and the "Show Guest Name on Paying Guest List" is disabled in RDPWin.  When not checked, guest names are displayed on the Res Listings page for only owner and guest of owner reservations unless the "Show Guest Name on Paying Guest List" is checked. 

To show owner, guest of owner, and paying guest names, do not check "Hide Guest Name on all Reservations" and check "Show Guest Name on Paying Guest List".



To show only owner and guest of owner names, do not check either "Hide Guest Name on all Reservations" or "Show Guest Name on Paying Guest List".
Number of Months to Display Future Paying Reservations
By default, the res listing screen displays all future and in-house reservations and no past reservations. When set to zero, NO future paying guest reservations are displayed.  When set to a number greater than zero, owners can view all in-house reservations and future reservations for the specified number of months.  This acts differently than the old IRM, since zero means ALL future paying guest reservations are displayed.
User Password Crystal Report for E-mail Body

Click the Browse button to select the Crystal report to be used as the e-mail body when sending an e-mail to the user with forgotten account information required for IRM.Net access.  The UNC (i.e., \\IRMserver\rdp1202) must be included in the path, and not the drive letter (i.e., f:\rdp1202), since the report is being accessed over the Internet.

Calendar Page
Show ‘Maintenance’ as ‘Occupied’
When checked, maintenance reservations display in the same color as paying guest reservations on the IRM owner calendar.  This is an optional switch.  When not checked, maintenance reservations display in a different color.
Show ‘S’-Type Reservations as a Separate Color
When checked, "S"-type reservations display in a different color on the owner calendar.  When not checked, "S"-type reservations type display in the same same color as paying guest reservations.
Number of Months to Display
Select how many months display on the owner calendar by default. Valid settings are from 0 to 24 months.
Default Rate Plans

Configure the default rate plan for owner, guest of owner, and timeshare reservations on the IRM.Net.  When the Timeshare module (R6) is installed and the C1CONDO record is set to yes, the configuration for all three types are allowed.  When the Timeshare module (R6) is installed but C1CONDO is set to No, the timeshare owner rate plan is the only plan visible.  When the Condominium module (R3) is installed and the Timeshare (R6) module is not, only the owner and guest of owner fields show.

Owner (Module R3 Required)
The Default Rate Plans group box includes the setting for Owner and is enabled when Calculate Rates for Owner Reservation (Switch 319-09) is set to yes.  Select the default rate plan to be used for owner reservations made using IRM.Net.
Guest of Owner (Module R3 Required)
The Default Rate Plans group box includes the setting for Guest of Owner and is enabled when Calculate Rates for Guest of Owner Reservation (Switch 319-10) is set to yes.  Select the default rate plan to be used for guest of owner reservations made using IRM.Net.
Timeshare Owner (Module R3 AND R6 Required)
The Default Rate Plans group box includes the setting for Timeshare and is visible only when Add Owner/Guest of Owner Options to 100 (Switch C1Condo ) is set to yes.  Select the default rate plan to be used for owner reservations made using IRM.Net.
Work Orders
Hide Bills on Owner Menu
When checked, the Bills option is not displayed in the Owner menu.
Hide Work Orders on Owner Menu
When checked, the Work Orders option is not displayed in the Owner menu.
Allow Add Work Orders
Enabled when "Hide Work Orders on Owner menu" is NOT checked, check the "Allow Add Work Orders" checkbox to include the ability to add work orders from the Work Orders menu on the IRM.net Owner menu.  When "Hide Work Orders on Owner menu" is not checked, then "Allow Add Work Orders" is not checked and cannot be changed. 
Priority / Taken By / From / Type
Enabled when "Hide Work Orders on Owner menu" is b>NOT checked, the Work Orders menu includes the ability to add vendor work orders from the IRM.net Owner menu.  Use these drop-down menus to select the actual settings offered in the work order form on the IRM.net for Owners.  The settings are required on work orders.  When "Allow Add Work Orders" is checked, then these settings are ignored and cannot be changed.
Statements
Hide Statements on Owner Menu
When checked, the Statements menu does not appear in the IRM.Net Owner menu.
Number of Prior Months to Display Statements
Select the number of months worth of statements to allow for display in the IRM.Net for owners.   The default setting is zero "0" which actually means that all available statements are available for display in the "Ending Statement Date" drop-down list. For example, when the current system date is March 1st and this field is set to two "2", statement dates available for display are 1/1/98 to 3/1/98.

Reservations Tab

General
Display Availability Immediately
When checked, IRM.Net for reservations displays a list of available rooms at login. An arrival date and/or departure date can be passed in.  When checked and no dates are passed in, dates are set based on the default nights and Arrival date must be "xx" days from current date.
Display Property Codes
When checked, a drop-down is displayed on the left side of the IRM.Net for reservations screen.
Display Rooms According to RoomTypeOrder.txt
This settings is for room types only.  When checked, the rooms are displayed based on a custom order in the RoomTypeOrder.txt file.
Display One IRM Rate Plan
When "Display One IRM Rate Plan" is checked on the Reservations tab, only one rate is displayed.  When not checked, all applicable rates are displayed including packages.

Display Rate Plan Choices
The Rate Plan drop-down in the search criteria section does not display by default.  Check the "Display Rate Plan Choices" checkbox to display the Rate Plan drop-down on the search availability screen.  Existing IRM.net customers should check the box to enable display of rates drop-down if desired.

Cut Off IRM Reservations Based on Property-wide Occupancy
Turn off the IRM once a certain occupancy level is achieved.  For example, check this box and set to 80%.  When the property occupancy is 81%, no rooms display as available.  Properties that often overbook by room type and moves guests around should consider this setting.
Show All Rooms - Arrival/Departures Dates Not Required
When not checked, only available rooms display in the IRM.Net.  When checked, all room information can be accessed regardless of dates.
Only Allow Reservations for "XX" Months from Current Date
When checked and a number greater than zero is entered, reservations can only be made that many months in advance of the current system date.
Tax Code
Set the default tax code to be assigned to IRM.Net reservations.
Nights
Default, Minimum, and Maximum
Set the minimum, maximum, and default number of nights allowed on an Internet reservation.  The default number of nights must be greater than or equal to the minimum and less than the maximum.  The minimum number of nights can be from 1 to 99, and the maximum number of nights can be from 1 to 999.
Arrival Date Must Be "X" Days From Current Date
If the property only accepts Internet reservations arriving a set number of days in the future, complete this field.  For example, if the property requires that Internet reservations be made three days prior to arrival, set this field to "3".
People
In Use
This read-only column shows whether each people classification is being used in RDPWin and RDPDOS.
Defaults and Maximums
Set the default and maximum number of each people classification allowed on an Internet reservation.
Hide
Check to disable People Classifications 2, 3, and/or 4 on the IRM only.  People classifications can be used in RDPWin or RDPDOS and disabled on the IRM.  If not in use in both RDPWin and RDPDOS, the are not allowed on the IRM either.
Set "People 2" Field Equal to "People 1" Field
Only enabled if the Hide "People 2" box is checked, the "People 2" Field is used by some properties to calculate packages, and for IRM reservations, is always equal to "People 1" Field.  Select this option to automatically set "People 2" Field equal to "People 1" Field on the reservation, although "People 2" Field does not display on the IRM.
Display HTML Descriptions of People Classes
The people class descriptions on the IRM default to the descriptions in RDP-DOS.  However, properties that sell packages and use all four people classes may wish to display a more detailed description.  This feature better guides the internet guest when making a reservation, and the package is correctly calculated based on the people class entries.  Each people class has a corresponding People#Short.htm and People#Long.htm (i.e., People1Short.htm and People1Long.htm for people class #1).
Required Fields

Check any of the following boxes to designated those fields as required on the Reservation Entry page:

State
When checked, the State field is required on the IRM.Net Reservation Entry page.
Zip Code
When checked, the Zip Code field is required on the IRM.Net Reservation Entry page.
Country
When checked, the Country field is required on the IRM.Net Reservation Entry page.
Phone 1
When checked, the Phone1 field is required on the IRM.Net Reservation Entry page.
Phone 2
When checked, the Phone2 field is required on the IRM.Net Reservation Entry page.
Password
When checked, the Password field is required on the IRM.Net Reservation Entry page.
Agree to Cancellation Policies
When the "Agree to Cancellation Policies" checkbox is checked:
  1. A checkbox appears on the IRM reservation entry screen "I have read and agree to the following cancellation policies" that must be checked before the reservation is filed; and
  2. The file CancellationPolicies.htm in the UserText folder is displayed below the "I agree" checkbox.
CRM Options
Guest Login with CRM ID or E-mail
When selected, guests can log into the IRM.net to make reservations using their CRM# or E-mail address.  When not selected, guests must login using their Guest History# or E-mail address.
Login with Guest History Number or E-mail
When selected, guests can log into the IRM.net to make reservations using their Guest History# or E-mail address.  When not selected, guests must login using their CRM# or E-mail address.
Inventory Settings
Inventory Reservations
Select the Inventory Reservations radio button to enable the Inventory Settings group box.
Auto-assign a Room Number
When checked, a room that best fits the guest's room type selection is automatically selected for the reservation.
Preassign Settings
Preassign Reservations
Select the Preassign Reservations radio button to enable the Preassign Settings group box.
Hide Room Number Choices
Enabled only when Preassign Reservations is selected, check to hide the Room Number drop-down as a selection criterion on IRM.net preassign reservations.
Hide Room Type Choices
Enabled only when Inventory Reservations is selected, check to hide the Type drop-down, which is populated with room types, as a selection criterion on the IRM.Net screens.
Show Room Details Using URL from Room Master
Enabled only when Inventory Reservations is selected, check to instruct the the View Details link on the IRM.net Available Rooms list to open a browser window displaying the URL configured on the room master.  Room number detail pages that already exist on the marketing website can be displayed in this manner. When not checked, the room number details are displayed using the HTML files from the IRMNet/UserHtml folder.
Guest History - New Guests
Guest History Type
When an Internet guest makes a reservation, the "Guest History Type" is assigned based on this field.  Guest history types are stored in Table CA and are used to segment guest history for marketing purposes.   For example, a mailing can be distributed to past guests based on guest history type.  So, all guests who have booked through the IRM can be e-mailed a newsletter alerting them of future Internet specials. 

Use the following steps for adding sub-records to Table CA in RDPWin:
  1. From the System | File Utilities submenu, select Table Maintenance.
  2. Select Table CA - Guest Type Validation from the Table drop-down.
  3. Click the Add SubRecord button.
  4. Enter the new SubRecord (up to six characters) and the corresponding description (up to 24 characters).
  5. Click "Save & Close".
Market Code
Set the default market code used for all Internet reservations.  RDP provides standard "Revenue by Market Code" reports.  These reports are useful in determining the type of guest staying at the property. Once the type of guest is determined, marketing dollars can be spent in the correct areas for attracting additional business.  Additional market codes can be added from the System | File Utilities submenu by selecting Table Maintenance and updating Table CF.
Source of Business
New Guest Default SOB
Set the default source of business code used for all first-time Internet guests.  By default, all source of business codes Table CD are displayed.  RDPWin allows SOB codes to be shown in both RDPWin and the IRM.net or just RDPWin.  Use the following steps to suppress certain codes from the list on the IRM.net:
  1. From the System | File Utilities submenu, select Table Maintenance.
  2. Select Table CD - Source of Business Validation from the Table drop-down.
  3. Select the code to be suppressed in the grid.
  4. Click the Change SubRecord button.
  5. Set "Show on IRM" to N for no.
  6. Click "Save & Close".
  7. Repeat for all SOB codes to be suppressed on the IRM.net.

The initial source of business code entered by the Internet guest is transferred to the guest master record and used as the default for any subsequent reservations.
Existing Guest Default SOB
Set the default source of business code used for all returning Internet guests.  By default, all source of business codes Table CD are displayed.  RDPWin allows SOB codes to be shown in both RDPWin and the IRM.net or just RDPWin.  The SOB code entered by the Internet guest is transferred to the guest master record and used as the default for any subsequent reservations.
Hide "How did you find us?" Question
The RDP system includes extensive Source of business reporting. The IRM normally prompts the guest with "How did you find us", which correlates to an RDP source of business code.  Check this box to hide the prompt from guests and automatically assign the default SOB code to all IRM reservations.  When not checked, the guest can select the SOB code.

Deposits

Total Charge
Include Daily Charges
When checked, Daily Charges are included in the Total Charge of IRM.Net reservations for which the deposit is calculated.
Include Other Charges
When checked, Other Charges are included in the Total Charge of IRM.Net reservations for which the deposit is calculated.
Include Tax
When checked, taxes are included in the Total Charge of IRM.Net reservations for which the deposit is calculated.
Require Deposit

Select only one of the deposit requirement settings set forth below:

Always Take a Credit Card Deposit
When selected, a credit card deposit is required for all IRM.Net reservations regardless of returning or new guest status.
Take a Credit Card Deposit for New Guests Only
When selected, a credit card deposit is required for all IRM.Net reservations made for new, non-returning guests status.
Never Take a Deposit
When selected, a deposit is not allowed or requested for any IRM.Net reservations.
Hide Credit Card Fields on Res Entry Screen
When Never Take a Deposit is selected, check this box to hide all fields pertaining to credit cards on the screen.
Calculate

Select only one of the following settings for calculating deposit amounts on IRM.Net reservations:

Total Charge (as calculated above)
When selected, IRM.Net reservation deposits are calculated based on the Total Charges which may include Daily Charges, Other Charges and taxes.
Percent of Total Charge (as calculated above)
When selected, IRM.Net reservation deposits are calculated based on a percentage of the Total Charges which may include Daily Charges, Other Charges and taxes.
Percent
When "Percent of Total Charge" is the selected form of deposit calculation, enter the percentage of total charges to be used as the default deposit amount on IRM.Net reservations.
Flat Amount
When selected, IRM.Net reservation deposits are calculated based on the amount entered in the "Amount to Use" field.
Amount to Use
When Flat Amount is the selected form of deposit calculation, enter the fixed amount to be used as the default deposit amount on IRM.Net reservations.
Night's Average of Total Charge
When selected, IRM.Net reservation deposits are calculated based on the nightly average of the IRM.Net reservation's Total Charges.
Number of Nights
When "Night's Average of Total Charge" is the selected form of deposit calculation, IRM.Net reservation deposits are calculated based the average of nights as designated here.
Guaranteed

Select only one of the following options as the default setting for the Guaranteed field on IRM.Net reservations:

Set Guaranteed Field to Yes
When selected, the Guaranteed field is set to Yes by default for all IRM.Net reservations.
Only Set Guaranteed Field to Yes for Reservations with a Credit Card
When selected, the Guaranteed field is set to Yes by default for all IRM.Net reservations with a credit card on file.
Set Guaranteed Field to No
When selected, the Guaranteed field is set to No by default for all IRM.Net reservations.
Southern DataComm (SDC) Settings
Path for SDC .In and .Out Files
Enter the path used by SDC for inbound (deposit approvals or denials) and outbound (deposit requests) files.

Comment Fields

For each of the 17 Comments on a reservation, the property can set it up so the guest inputs information for certain comment fields directly from the IRM.

Text to Display
Enter the text to be displayed on the IRM for the selected Comment.  This represents the title of the comment shown on the IRM.  The values for the Comments are set using the Comment Field Selections grid.
Active For...
Select comment fields to display only for agents, owners, guests, or groups using the Active boxes.  Check the box for each Comment (1-17) to set the IRM status to active for Guests, Agents, Groups, or Owners.  For example, if only the Agents box is checked in the Comment 1 row, then Comment 1 is only displayed when Agents log into the IRM.
Required
When checked, RDPWin requires the guest, owner, agent, etc., to complete that Comment field before finalizing the reservation.
Comment Field Selections Grid
The grid displays columns for Comment #, Description, Value, and the "Show In IRM" checkbox.  Comment fields can use tables to standardize the data entered.  There are rows in the grid for Comments 2 and 4 in RDPWin's demo data files (shown above) which cause the guest to choose one of the selections in a drop-down for those comment fields.  In that example, Comment 2 deals with selecting a smoking or non-smoking room.  Selections available are None (no preference), Non-Smoking, and Smoking.  All other comment fields display as textboxes. 
Add Comment Selection
Click to add a row to the Comment Field Selections grid.  Select the Comment# for which the option is being added to the drop-down list.
Value
The Value column (limited to six characters) is used as an abbreviation, which gets entered in the table as the sub-record.
Description
Use caution when entering the Description. The maximum length of the description varies depending on the comment number; however, the grid does NOT limit character entry.  when the Description entry is too long, it is simply severed at the designated length when placed in the table.  For this reason, the Description Lengths for each column are displayed to the right of the grid to help avoid errors.  For example, if a Description reads "American and Am. Eagle Airlines" for Comment 4 (which has a length set to 20), then only "American and Am. Eag" is displayed as the Description on the IRM.
Show In IRM
Check the "Show In IRM" checkbox to make that item available in the drop-down on the IRM.  When not checked, that item is only available in the drop-down using RDP-DOS and RDPWin.

Miscellaneous Tab

Property Info
Guest E-Mail
Enter the property’s e-mail address that receives copies of all IRM e-mail confirmations (typically the e-mail address for the reservations department).  Send copies (CC) other staff members by entering a second e-mail address, separating each address with a semi-colon.
Owner E-Mail
Enter an e-mail address of a staff member at the property that takes care of Owner reservations and requests.  This address is used when an Owner selects the "Send Mgmt and E-Mail" link.  Copy (CC) other staff members by entering a second e-mail address, separating each address with a semi-colon.
System Maintenance
Turn On E-mail Troubleshooting Mode to IRMSupport@Resortdata.com
Upon installing the IRM, RDP Support checks this box to monitor the IRM’s status at your property. E-mails include information about the condition of the web server and whether or not the IRM is "down" for lengthy periods of time. This setting allows RDP to monitor IRM activity and help troubleshoot problems.
Turn On E-mail Troubleshooting Mode to Your E-mail Address
When checked, someone at the property can also receive the troubleshooting e-mails.  Enter the e-mail address of that person in the Support E-mail Addresses textbox below this checkbox.
Support E-mail Addresses
When "Turn On E-mail Troubleshooting Mode to Your E-mail Address" is checked, any e-mail addresses (multiples can be entered and separated by a semicolon ";") entered into this field receive the same e-mail notices RDP Support receives regarding troubleshooting.
E-mail Confirmations
Send Owner Confirmation E-mails through IRM, not RDPWin Monitor
Checked by default, the confirmation for an Owner reservation will be e-mailed by the IRM using the normal text and html files created for the IRM.  When not checked, the RDPWin Monitor sends the Owner confirmation instead using the Crystal Reports confirmations.
Send Guest of Owner Confirmation E-mails through IRM, not RDPWin Monitor
Checked by default, the confirmation for a Guest of Owner reservation will be e-mailed by the IRM using the normal text and html files created for the IRM. When not checked, the RDPWin Monitor sends the Guest of Owner confirmation instead using the Crystal Reports confirmations.

Confirmations Tab

Configure confirmations sent for IRM.Net reservations.  When Condominium Owner Account Module R3 is installed, tabs are also available for Owner and Guest of Owner confirmations.  Allowing separate configuration for IRM.Net confirmations and RDPWin confirmations allows properties to send distinct and customized confirmations based on how the reservation was made.  The settings are the same as when configuring e-mails sent from RDPWin Reporter.

Virtual Store

When checked, the Virtual Store pages are not displayed during the reservation process in IRM.Net.
Hide Activities with Zero Price
When checked, activities without cost are not displayed during the reservation process in IRM.Net.

Promotional Codes

Use Promotional Codes on the IRM
When checked, any promotional codes set in the grid are offered for IRM.Net reservations based on use parameters.
Add Promotional Codes
Click to add a row to the Promotional Codes grid.  Save when entries are complete.
Promo Code
The Promo Code must be unique and can use up to six alpha-numeric characters.
Rate Plan Code
Enter the Rate Plan Code to be associated with the promotional code.  A rate plan code must be assigned prior to saving.
Disable
Promotional codes can be entered for continued or occasional use.  Check Disable to remove the code from the current codes offered to IRM.Net reservations.  Uncheck the box and click Save to reactivate any disabled promotional code.
Group Master
Enter the group master to be associated with the promotional code.  When designated, only reservations in the configured group are offered the promotional code for IRM.Net reservations.
Delete
Check the box in a promotional code row to select for deletion.  Click Save to complete the process.  Confirmation is required.

Appearance Tab

Use the settings on the Appearance tab to manage the IRM.Net display.

Available Rooms List
Rooms/Unit Types per Page
Set the number of rooms / unit types displayed on the Available Rooms List when displaying availability to the user.   Set to zero (0) for no paging, or set between 1 and 20 to limit the number of rooms / units displayed. 
Show Room Pictures on Availability List
When checked, images of the rooms are shown on the Availability List.  When not checked, only the room description is shown on the Availability List.
Enable Rate Description Links
When checked, the View Rates link is displayed above the rate amount for each available room.


When not checked, the information is displayed; but not as a link.
Hide View Calendar Link
When checked, the Calendar link is not displayed in the Available Rooms List.


When not checked, the link displays as shown here.
Show Room Details Using URL from Room Master
Enabled only when Inventory Reservations is selected, check to instruct the View Details link on the IRM.net Available Rooms list to open a browser window displaying the URL configured in Table W2.  Room type detail pages that already exist on the marketing website can be displayed in this manner. When not checked, the room type details are displayed using the HTML files from the IRMNet/UserHtml folder.
Window Width/Height
When Show Room Details Using URL from Room Master is checked, set the size of the Room Detail window.
Display Detail Pictures Above Long Description
When checked, the detail images of the rooms are displayed above the long description when room details are shown within the IRM page.  When not checked, the detail images are displayed below the description.
Hide View Rates Link
When checked, the View Rates link is not displayed in the Available Rooms List as shown here:


When not checked, click the View Rates link to display a grid of detailed rate information for all applicable rates. The rates are displayed in Rate Plan Sequence Number order, and the first one is selected by default. Rate details are not available until dates have been selected, so the View Rates link will not display if no dates have been selected regardless of this setting.

Display Room Rate As
Average Nightly Rate or Total Rate For Stay
Select the Average Nightly Rate and customize the Label As field if desired to show the average nightly room rate for each room in the available rooms list.  When the selected Rate Plan is a package, the room rate includes Other Charges 1 and 2 as well, so the nightly rate is calculated as the average (room only + Other 1 + Other 2) rate. This can be overridden with the "Separate Other Charge 1/2" options below.

The system default for Average Nightly Rate label is "Nightly Rate" and can be changed as necessary.


The system default for Total Rate for Stay is "Total Rate" and can be changed as needed.
Rate Details
Separate Other Charge 1 From Pkg Room Charge
Check "Separate Other Charge 1..." and customize the Label As field to separate Other Charge 1 from the package room rate.  When selected, the Nightly Rate is just the average room rate as it is in a non-package case. The View Rates link displays the Other 1 charges (using the customized label) separate from the room charge.

This sample show what the Rates displays as when Other Charges are not separated from the room rates:
Separate Other Charge 2 From Pkg Room Charge
Check "Separate Other Charge 2..." and customize the Label As field to separate Other Charge 2 from the package room rate.  When selected, the Nightly Rate is just the average room rate as it is in a non-package case. The View Rates link displays the Other 2 charges (using the customized label) separate from the room charge.

Labels
Use Label Nights or Days
Radio buttons for Nights or Days have been added.  Select Nights (default setting) to use the terms Number of Nights and Nightly Rate when viewing the IRM.Net screens.  Select Days to use the terms Number of Days and Daily Rate when viewing the IRM.Net screens.
Phone 1 and Phone 2 Labels
Customize the label displayed for Phone 1 and Phone 2 on IRM.Net reservations (i.e., Home, Work, Cell, etc.)
Label Each Room With
Designate how each room (or room type) is labeled in the availability list and on the room detail page (when not using the marking site URLs).  Each room/type can be labeled with the room type, room number, both, or an alternate room name.  Click the "Alternate Room Names" button to configure alternate room names.  When a room does not have an alternate name, then the room number (or type for inventory reservations) is used.

This configuration can be used to specify an alternate name for every room or an override for just some. The first time this screen is accessed, the grid is initialized with all rooms and types.
Room List Rate
Customize the text that appears in the Available Room List labeling the room rate field.  The default setting is "Nightly Rate".  There is limited space on the IRMNet page for this label, so a string of not more than 20 characters is recommended. Longer labels wrap to a second line.  Select whether or not the nightly (room) rate or the total rate for the stay should be shown.
Room Details

The Room Details tab displays the user-created HTML describing the room and any images of the room.  These files reside in the IRMNet/UserHtml and IRMNet/Images/Rooms folders respectively.  The naming convention for these files is the same as for the old IRM.

Note:  RDPWin's demo files have a "marketing site URL" configured for each room.  To see the tabbed Room Detail pages, uncheck the "Use room master URL" checkbox or remove the URL from some room masters.

Detail Page Tabs
The "View Details" link still displays the information from the room master (or Table W2 for inventory reservations) when the Show Room Details Using URL from Room Master checkbox is checked and there is an URL configured for the room or room type.  When a customer already has room detail pages setup on their marketing website, IRM.net uses them.

When the Show Room Details Using URL from Room Master checkbox is NOT checked (or an URL is not configured for the selected room/type), the IRM.net will display the tabbed room detail page.  Tabs are available for Details, Availability, and Rates.  Select one of the tabs as the starting tab (tab in front) and use the Hide Tab checkboxes to display or not display tabs where appropriate.
Availability
The Availability tab displays the availability calendar for the selected room, the default (and maximum) show four months, but fewer months can be configured.
Rates
The Rates tab shows a grid of applicable rates and with a detail breakdown of room charges, other charges, taxes.
Number of Calendar Months
Select how many months display on the availability calendar.  Consider fewer months when the width of the page needs to be restricted to fit into a specific iframe size.
