Payment Card Industry (PCI) Credit Card Compliance

Visa USA has instituted the Cardholder Information Security Program (CISP). Mandated since June 2001, CISP is intended to protect Visa cardholder data "wherever it resides" ensuring that members, merchants, and service providers maintain the highest information security standard. In 2004, the CISP requirements were incorporated into an industry standard known as Payment Card Industry (PCI) Data Security Standard resulting from a collaboration between Visa and MasterCard to create common industry security requirements. RDP-DOS and RDPWin are now compliant with the PCI Data Security Standard.  See Encryption for details on implementation of this feature.

Improving System Performance by purging Historical Data

Resort Data Processing (RDP) has been in business over 25 years, and we have sold well over 1,000 systems.  We have many customers who have successfully used the system for 10, 20, or more years!  The system is designed to hold all historical data forever.  However, after a long period of time the data base can become very large, which can lead to performance problems.  Additionally system backups are very large and system utilities can also run for a a long time to read all the historical data. 

RDP suggests that all customers update their RDP programs to the latest versions and purge the oldest historical data with the procedures in this article every six months.

Up to 9 Unique Owner Charges Now Allowed

Each owner can now have up to 9 Unique Charges posted to their account.  To activate a transaction code in the owner ledger to be a unique charge, a number such as "1" through "9" needs to be added in the "Bkt" field.  Entering "1" indicates that the transaction code is "Unique Charge #1" and entering a "2" in the Bkt field indicates this is "Unique Charge #2", etc.  Data items have also been created for all of these Unique Charges.  Unique Charge #1 uses data item "AS", whereas Unique Charges #2 through #9 use data items LL through LS.

Option 143 Room Availability shows Booked and Committed totals

The room availability is displayed in RDP with option 143 "Display room blocks".  The 143 screen has been changed to show the booked totals and committed totals.  Previously this option only displayed the Booked totals.  To see a sample of the new screen as well as a definition of booked and committed totals, see: Display Booked and Committed Availability".

RDPDEL.BAT Available to Free Disk Space

The system creates a variety of log files each day.  For example, each time a phone call is posted from the call accounting interface the charge is posted to the guest folio and added to a daily log file.  These daily log files are never deleted by the system automatically.  To free disk space old log files can now be deleted with the procedures in the document Available to Free Disk Space.

Use 20 Character General Ledger Cross Reference Accounting

Switch #421-4 under Menu 98 when YES allows 20 characters instead of 12 for an external general ledger account number.  If this switch is YES and external general ledger account numbers have been defined using 12 characters, RDP000 automatically moves them to a different location in the Totals file for the current year.  Prior years are not changed.

High Speed Credit Cards

High Speed Credit Card Authorization now Available for SDC

RDP's credit card interface partner, Southern DataComm (SDC), now offers high speed credit card authorizations and settlements via the Internet.  An authorization at check-in that used to take over 30 seconds can now be done in less than 6 seconds!

Improved Procedure for Changing Published Rates

The system has been improved to make it much easier to change rates.  For example, assume you want to increase the rack rate for any reservations made after 3/1/2003.  Any reservations made prior to 3/1/2003 should still have the old rate.  The rates on the old reservations can now be "frozen".  Please click here for details.

Expanded Lockoff Capability (Multiple Room Configurations)

RDP has long supported "lockoff" units, which are used when renting a room in more than one configuration, for example, a two-bedroom condominium that is rented either as two single rooms or as one two-bedroom suite.  We have expanded this capability to handle more scenarios, such as a four bedroom complex that is rented many different ways.  See Lock-Off Units for details

Switch 426-3 under Menu 98 when set to YES will hide unit types OLD and N/R on option 206 Change Room Status.  Room numbers that are OLD and N/R room types usually do not have the clean/dirty status updated so the switch reduces the number of rooms listed with option 206.

Allow Check-out without Check-in (Direct Checkout - 131 option Z)

This option is for Vacation Rental Properties that do not operate a regular front desk and do not post room and tax daily.  Under Menu 98, change switch 426-2 to YES to allow auto check-in and auto check-out with 131 option Z.  When this switch is set to YES, reservations with a future status (1, 2, 4) are changed to a checked-out status (8).  Reservations cannot be checked in if this switch is set to YES.

Switch #425-17 under Menu 98 when set to YES will ignore any minimum and maximum days in RDP-DOS or on the IRM for owner and guest of owner reservations.  On the IRM, the maximum days will then be set to 30 days.

Turn off Security Deposit and Transfer Open Security Deposits to Non-Active History

Switch #425-16 under Menu 98 when set to YES restricts users from posting a security deposit charge (transaction code 08) to a reservation.  Also, if there are any checked out reservations with an open security deposit that meet the other transfer criteria, these reservations will transfer to Non-Active History.

There is a new switch, (menu 98, option 425 switch #14) that forces the system to go to the yield management screen on any reservation change that affects rates. For properties that require from 2 to 10 workstations, RDP software can be installed using a "peer-to-peer" networking environment.  Up to 10 Windows XP professional workstations can be connected to a hub or switch.  All RDP data is stored on the first Windows XP Professional workstation.  The other workstations access this data via the Switch or Hub. Rate Plans for IRM Only

Revision 302 has the ability to set up a rate plan for use ONLY on the IRM.  Option 186 has been changed for Field 13.  The first character for field 13 indicates whether the rate plan is used on the IRM.  Enter a "Y" here.  The second character indicates whether the rate plan is ONLY available to the IRM.  Enter a "Y" in this field, and the rate plan does not display in RDP-DOS.

Use Alternate Credit Card Processor by Property Code

Revision 302 has a new Switch 425-11 which allows use of the SDC Alternate Merchant # and Terminal ID by property code.  Change this switch to YES and update Table R2 for those property codes which should use the alternate processor.  Enter a "Y" in Field #2.  If the reservation is assigned to a property code where this field is "Y", the system uses the Alternate Processor information for SDC.

Change Pay Code on DS and DT Transactions

Revision 301 now allows for the pay flag to be changed on DS and DT transactions.  These transactions are created when 120-D option T to Transfer is used.  This will allow DS and DT transactions to be changed to Folio I, A, B, L, or M.

Transaction codes can be disabled

A transaction code to be disabled so that it cannot be posted. For example, assume you have a B210 code for "Dog Sled Rides", and that you no longer offer this service.  You cannot delete the B210 code until the end of the year to keep the accounting system in balance.  However you can now disable the code so that it cannot be posted.

Alternate Owner Number Allowed

Revision 294 includes Switch 425-10 which allows an alternate owner number.  If Switch 425-10 = YES, a second owner number may be added to the owner master.  Activate this feature by changing the switch to YES and running Option 994 on File 71. The original 8-character owner number is still required, but a second owner number up to 14 characters may be added as well. Unlike the original owner number, this alternate owner number may be changed at any time using Option 202.

This feature requires a new RDP screen.  Please click here to download RDP200O2.scr.  When prompted choose "Save" and save the file in the \RDP\Forms folder.

Print Tax-1 and Tax-2 on Folio Transaction Detail

Revision 292 includes Switch 425-9 which prints both Tax-1 and Tax-2 on the folio transaction detail.  Set this switch to YES.  To change the labels for the detail header, add sub-record FOLIO to the C1 Table. To right-justify the labels over amount fields, the column header should END in these locations in sub-record FOLIO:

Remanco POS - New Flag to NOT Override Credit Check

Revision 292 includes a new field for the Remanco POS system:  Allow override of Credit Check.  If set to "N" and the reservation has a credit card but the credit limit is less than the POS charge, the server cannot override the credit check and post the charge to the room anyway.  Set the flag with Option 3 - Change Remanco Pay Methods

City Names Added to Table CX

Revision 291 includes an update file: CITIES.UPD which adds 200 City names to Table CX the first time RDP is run. This update file is run only once.  Customers can delete cities from Table CX using Option 090, and future updates will NOT re-add them. Other city names may also be added to Table CX.

RDP strongly suggests Windows 2000 or XP Professional Workstations

Many RDP customers have a mix of workstations for clients, including older versions of DOS, Windows 95, 98, ME, NT.  By analyzing our support calls, RDP has determined that the older operating systems are over 100 times more likely to crash and cause problems than the newer Windows 2000 Professional or Windows XP Professional workstations.

RDP's goal is to provide a fast, reliable system to our customers, which is virtually impossible when using Windows 98 or other old operating systems.  RDP strongly suggests all customers replace all old workstations with new hardware running Windows 2000 Professional or Windows XP professional.  These new machines are not very expensive and will pay for themselves very quickly by eliminating costly support calls to your hardware people.

Improvements to RDP212 "Post room and Tax" option

The RDP212 program is used to post room and tax to guests each night.  Various improvements have been made, including:
  • Each additional daily charge shows on a separate line (see switch 425-7)
  • Columns appear for Rate, Tax, Total with correct totals (see switch 425-8)
  • Review mode always shows amount that will be posted, not the amount that was actually posted.  To view actual totals, use menu 3, RPT, 764.

One of the most powerful screens in the system is the new reservation yield management screen. We have added a new function key, <F10-More Options> to this screen.  There are over 20 new options that appear when <F10-More options> is pressed, including:

Delete or Hide unused Transaction Codes

Many customers have old transaction codes that are no longer user.  For example, perhaps you used to have a code "12" for "dog sled ride", and you no longer offer dog sled rides.  If the code has not been used in the current year it can be delete with option 182 from menu 98.  However, if the code has been used in the current year, it cannot be deleted.  However, it can be hidden so that employees no longer see or use the code.  To hide a transaction code, use option 182, sub-option "3" - Change Transaction code.   Select the transaction code and change the "Look" field in the header from "Y" to "N".

Prompt for Credit Card ID # (CID#)

The system now prompts for the credit card ID number if the SDC module is installed and a payment is taken by credit card with the card not present (such as an advance deposit over the phone).  The CID# is required for American Express, Discover, MasterCard and Visa credit cards. It is the 3 or 4 digit number on the back of the credit card. Major credit card companies are now requiring this information be sent to them as part of the transaction activity. Non-compliance can result in higher fees. The CID number is now required in both RDP-DOS and the IRM

Delete or Hide unused Market Codes and Source of Business Codes (SOB)

Many customers have old market codes and source of business codes that should no longer be used. For example, you may have a SOB code "Billboard on I70".  However you didn't renew the contract and they put a different ad on billboard.  You can't delete this code because it is in use on existing future reservation, but you don't want to use it on any new reservations.  Click here for details on how to disable the codes.

"X" Type Maintenance Reservations can be made for a block of Rooms

It is now possible to remove a block of rooms for Maintenance at the same time.  For example, assume 40 rooms are going to be out of service for a week for painting.  You can now enter all 40 "X" type reservations at one time using option "102" from the reservation menu.  Select option "X" - Remove from Inventory.  Then enter the dates and a "*" for unit type.  All room numbers are displayed and you can select all 40 at one time. The system then makes 40 "X" type reservations, which block the availability of these rooms.

Folio display now shows "Transaction Bucket"

When a guest folio is displayed the system now displays the transaction bucket.  This can be very useful when trying to find all room charges, or misc. charges.  RDP buckets are as follows:

All users of Windows 2000 or XP workstations must be local Administrators

Microsoft added significant local security to Windows 2000 and Windows XP. A user with minimal rights does not have access to write files to the "C" drive, or to re-direct printing to shared network printers, both of which are required for RDP software to function properly.  To solve this problem each user of a Windows 2000 or XP workstation must be a member of the administrator group on the workstation, which gives the user complete access and all rights for the local workstation.

Printing with a USB connected Printer 

Printers that are connected with a USB cable do not normally work with RDP-DOS. They work fine with RDP Crystal Reports and our new RDPWin Windows based system. <F6-Note> from Res, Group Leader, Group Master, or Guest History

When viewing a reservation it is now possible to display the <F6-Note> from any of the following:

  • Reservation Note
  • Guest History Note
  • Group Leader Note
  • Group Master Note

For example, assume you have a group with 20 reservations, and you wish to notify each group member at check-in that there is a party at 8:00PM.  Rather than put this note on all 20 reservations, the note can be placed on the group master or the group leader ONE TIME, yet it can be displayed at check-in for all 20 reservations.  Click here for more details.

The <Esc> Key has been Deactivated at the "OK to Check-in?" prompt

The <Esc> key has been deactivated when checking in a reservation under 120 Reservation Detail when prompted "OK to Check-in?".  You must now enter either "Y" to check-in the guest or "N" to abort the check-in.  In the past some customers accidentally pressed <Esc> at this point and thought the reservation was checked-in.

Room moves can change room status to "T=Tidy", D=Dirty, or "No change"

The system now provides a warning that the available DOS memory area in a given workstation is less than 530,000 bytes.  RDP requires at least 530,000 bytes of available DOS memory or the workstation will hang, crash, and corrupt data.  This is a critical problem that must be solved immediately before using that workstation in RDP.  Please click here for details.

Show Assigned Rate Plan Only for Groups - Switch 319-1

Switch 319 - 1 has been modified from "Show assigned rate plan only for groups with allocation" to "Show assigned rate plan only for groups."  When activated, the rate plan specified on the group master will be the only rate plan to appear when making a group reservation.  Previously this feature only worked when a group block had been allocated.  Click here for details.

Log File to Show Why Reservations did not Transfer to Non-Active History

RDP maintains two guest database, on for "active" reservations and one for "non-active history". Reservations are moved from "Active history" to "Non-Active" history when option 910 is selected from the system manager menu.  We have now added the ability to view and print a log file that indicates what reservations were transferred, and which reservations were not transferred, and WHY they were not transferred.  Click here for details.

Credit Card Expiration Date Removed from Folio Receipt

The credit card expiration date has been removed from the printed credit card receipt and the folio receipt.  This change is the result of a Southern DataComm ProtoBase Tech Bulletin: 2002-P-001.

Recent legislation was passed requiring all electronic receipts list only the last five digits of a customer's credit card account number and no expiration date to reduce identity theft and credit card fraud.  California and Washington are the first states to require these changes.  Click here for details.

Guest frequency and Nights Available

The guest frequency field now displays on the second reservation screen, to the right of the guest history number.  Frequency and total nights are stored on the guest history record, and are defined as follows:

Frequency The total number of reservations that have been checked-out for the same guest history number.  For example, if guest history #2 has 3 future reservations, 1 cancelled reservation, and 2 checked-out reservations, the frequency would be "2".  Future reservations and cancelled reservations do not count in "Frequency"

Room Details can be displayed from Tape Chart and Available Room Listing

Many RDP customers who rent condominiums or homes always pre-assign specific room numbers.  The guests frequently have very detailed questions about each unit, such as the exact bedding configuration, type of TV Set, location, size of Jacuzzi, number of dishes, etc. etc. etc.  All this information can be placed in an F4-user help screen and then displayed from the 142-Tape chart or the available rooms display.

For example, at the tape chart, if room 107 is highlighted press <F4-User Help>.  The system will look for a file in the \RDP\Look file with the name "107.HLP" and display the file.  The 107.HLP file is included as a sample to use.  Click here for details.

This can be very useful, as the guest Email addresses are unique.  For example, there may be 3000 "John Smiths" in the world, but they will all have different E-Mails!  Access by guest E-mail address is available when making new reservations or when accessing guest history directly from menu 9.   Click here for details on Guest Email

Prompt for group information with reservation types "A" and "R"

RDP has a variety of options when making a new reservation.  Many properties use either option "A" for "Inventory Availability" or option "R" for "Room Availability".  These options previously did not prompt for the Group Master, and as a result could not correctly find the group block or group rates.

A new switch has been added, # 425-2 "Prompt for Groups on Reservation Types 'A' and 'R'".  With this switch set to YES, the Group Master field is the first prompt the reservationist sees after selecting reservation option A or R.    Click here for details.

Select a specific room# from option 362 - View Current Occupancy Status

Many customers use the RDP362 - "Current Occupancy Status" screen to view rooms left to sell.  It is now possible to select a given "room left" from option 362 and make a reservation (or walk-up) for that particular room number.  Click here for details.

Prevent Transactions from being changed for Past Dates

The <F8 - CHANGE> key is used for automatically correcting transactions.  A new switch has been added to the system, #425-1 - Reverse transactions with past dates using <F8 - CHANGE>.  The switch controls whether or not the <F8 - CHANGE> key can be used on transactions posted on previous dates.  The default for switch #425-1 is YES.  Setting the switch to "NO" restricts the <F8 - CHANGE> key on transactions with previous dates.  Click here for details:

Optimizing RDP for Remote Access with Citrix and Terminal Services

Many RDP customers have employees who need access to the RDP data from a remote location.  The best solution for doing this is Citrix software.  There is a new switch available in the system that optimizes the RDP system when Citrix or Terminal Services is used.  This is switch #424-15, "Optimize for Citrix and Terminal Services".  It is absolutely critical that any customer using Citrix or Terminal Services set this new switch to "YES" or the entire system will slow dramatically.
