Tutorial - Res - Activity Costs

Specific references within this tutorial to specific screen displays may differ if data/demo files have not been updated.  It is advised that users get new data files before beginning a tutorial.


Set Cost on Existing Activity

Costs and prices are tracked as separate records for activities.  When tracking costs, the activity component for price by Room Type must be entered with seasonal details, and then the activity component for cost (tracked through the Room Type field) must be entered with seasonal details.  The cost is displayed in read-only format on the Add Activity detail screen and no where else.  Reports must be used to extract the information for management purposes.

  1. Logon to RDPWin demo files with the Resort drop-down set to 03-CCS. 
  2. From System Switches, enter C1ITINCOST in the Search field.
  3. Select Yes from the Setting drop-down.
  4. Save.
  5. From System | Rates, select Components to open the "Rate Plan Component Maintenance" screen.
  6. Select "BF05 - Buffet Breakfast" from the Component drop-down.
  7. Select Cost from the Room Type drop-down.
  8. Using the CCS demo files, the only remaining require field should be Bucket.  Select "Other Charge 2" from the Bucket drop-down.
  9. In the "Seasonal Amounts" section, click the "Change All Rates" button.
  10. At the "Set all seasons to this rate" prompt, enter 2.5.
  11. Click OK to change the cost of the buffet breakfast in all seasons to $2.50.
  12. Click "Add & Close".
  13. At the confirmation notice, click OK.

To test these changes, make a new reservation and add a buffet breakfast activity.

  1. From the Reservations | Configuration | Activities tab, confirm that "Disable the 'Add Activity Detail' screen when adding an activity" is unchecked.
  2. Click "Save & Close".
  3. F5 (New Reservation - Paying Guest).
  4. Select 225 from the Room# drop-down.
  5. Click the Add quote button.
  6. Click the Add activity button.
  7. Select BREAKFST from the Vendor drop-down.
  8. Click Display.
  9. Select the middle activity in the grid: 03/01/98 Buffet Breakfast at Intervale Pancake House.
  10. Click Add Activity.
  11. From the Detail tab, notice the disabled Cost field displays 2.50 and the enabled Price field displays 5.00.  Unless the Price is changed on this screen, the guest will be charged $5 for the breakfast buffet activity when saved, and the cost of the breakfast is calculated and tracked for management purposes.
  12. Click "Save & Close" to file the activity details.
  13. Click "Save & Close" again to actually save and assign the activity to the new reservation.
  14. Click Make Reservation.
  15. At the "Not Guest History Chosen.  Find a guest from guest history now?" prompt, click No to open the Change Reservation screen.
  16. The only required field at this point is the guest name.  Enter your name into the Name field.
  17. Click "Save & Close".
  18. Click "This Res" to view this reservation from the grid.
  19. Click the Start button.
