Revision 2.030 (Released 11/15/07)

With the release of RDPWin 2.xxx, there are critical steps that must be taken to benefit from the new features and process speed.  Please review the information on RDPWin Version 2 - More features and Faster Performance and contact RDP Support at (970) 845-7108 with any questions.

Reservations

New Res | Denial Tracking No Longer Requires a Quote
When making a new reservation and any of the Yield Management, Availability, Available Rooms, or Tape Chart screens are accessed to view availability and the the New Reservation screen is closed without booking the reservation, Denial Tracking requires information before abandoning the reservation.  Prior to Version 2.028, Denial Tracking was only activated by adding a quote or clicking Make Reservation.  These new prompts allow Denial Tracking to be used much earlier in the new reservation process, since room availability could be the main reason the reservation was not booked.
Configuration | Check-in Tab | Turn on "Guest Waiting" Feature
Turn on the Guest Waiting feature to track guests who have arrived but are awaiting a clean room.  This allows the guest to use the facility even though the room is not ready.  The front desk can prioritize assigning clean rooms based on the Waiting flag.
Arrivals Grid (F6) | Waiting Only
When Guest Waiting is active in reservation configuration, the "Waiting Only" checkbox is available on the Arrivals grid.  check this box to view only reservations with an arrival date equal to the current system date who are onsite and waiting for a room assignment (room dirty, occupied, etc.). 
Change | Waiting
When the Guest Waiting feature is active and the arrival date is the current date, a Waiting checkbox is available.  When making a reservation for a walk-in and the guest is onsite but the room is not yet ready, check the Waiting box.  The waiting status also displays on the Arrivals list in the Waiting column.  From the Arrival list, the front desk or concierge can see that the guest is waiting and the room status.  Once the room status is clean, the guest can be contacted that their room is ready.

Masters

Activity Vendors | Activities Tab
Activity Vendors now have an Activities tab to show scheduled activities on reservations through the selected activity vendor.  Use the Start/End dates and Current/Historic filters to display specific activity details.  This example shows all activities currently scheduled on future, in-house, or active history reservations for Breckenridge Ski Resort regardless of date (no date filters set).  Select the Current radio button to display all activities associated with future, in-house and active history reservations; and the Historic radio button to display only activities on non-active reservations.  The grid can be exported to Microsoft's Excel.  Double-click any row in the grid or click "Activity Detail" to view the Activity Detail screen on a specific reservation.  Click "Activity Info" to view the Activity Information (when existing) for an activity within the Custom Help F4 system. 

The example below shows all currently scheduled activities for Breckenridge Ski Resort.
Owners | Configuration | Hawaii Taxes Tab
The Hawaii tab under Owners Configuration has been renamed Taxes in order to accommodate the new Canada GST tax feature for owners.  There are two checkboxes: one for Hawaii (this feature has not changed), and the other for Canada (set to "GST is Tax-1" by default.). Only one checkbox can be selected at a time since those with Hawaii taxes don't need Canadian taxes and vice versa.

When the Hawaii tax is selected, the "Owner Pays Hawaii Tax" box displays on the Owner Detail tab.  When the Canada tax is selected, the "Canada GST Settings" section displays on the Owner Detail tab.  When neither is checked, neither the Hawaii nor the Canada settings display on the Owner Detail tab.

Check the "Owner Pays GST (Canadian Tax)" checkbox on the Owner Detail screen if the selected owner needs to pay the Canadian GST tax to the taxing authority (as opposed to the management company paying the tax). Not all owners are responsible for paying the tax.

The Process Owner Revenue option handles these owners differently by passing the GST tax collected from the guest on to the owner.
Owners | Canadian GST Tax
The GST (Goods and Services Tax) feature for Canadian customers is turned on with switch C1GST1 on the Owners Configuration screen.  When checked, properties can selectively allow the passing the GST on a rental to the owner as well as adding GST on services/charges done by the property management company on the owner’s property.

When "Include GST Tax in Gross revenue (B7DF) reported to owners" is checked, there are two additional fields on the owner master screen: Owner Pays GST and Charge Tax Code.  Check "Owner Pays GST" to allow an owner to have the GST passed through as part of the month-end "Process Revenue" option.  Set the "Charge Tax Code" drop-down tax rate to allow the owner to be charged GST on charges/services.

When rental property owners pay the GST up front (during the purchase of the rental), then the "Owner Pays GST" box should NOT be checked and the "Charge Tax Code" should be set to a code that does not include the GST. On the other hand, when an owner did not pay the GST as part of the purchase, check the "Owner Pays GST" box and set the "Charge Tax Code" to a rate that includes the GST.

If an owner is charged GST, then the Process Revenue review screen and the Owner Statement will look like the following:

+ Gross Revenue
- Mgmt fee
- Travel Agent Fee (optional)
- Credit Card Fee (optional)
= Owner Net
+ Total Tax (GST on the Gross Revenue)
- Mgmt Tax (Mgmt portion of GST)
= Owner Final

The total for the owner is then the normal gross – mgmt fee and the extra GST-Mgmt GST. All other owner shared charges (TA Fee, Credit Card fee, etc.) work the same since the GST is calculated on the gross room revenue. The owner ends up sending the net GST (Total – Mgmt Portion) to the government and the property management company sends their portion of the GST to the government.

If the Owner Pays GST check box is not checked, the owner statement for that particular owner will not show the Total Tax and Mgmt Tax columns at all.

The GST is stored on the B7DF and B7DG codes. When the Generate Totals option is used, these taxes will be totaled to the tax 1 or tax 2 account in table B0 depending on the C1GST2 switch setting (No = Tax 1, Yes = Tax 2).
Owners | Configuration | Res Related Charges Tab | Enable Non-Shared Charges Based on Net Revenue When Processing
When checked, the Use on Net Rev column is available on the Non-Shared Charges Configuration screen.

Work Orders

Work Order Vendor Master | Markup/Transactions Tab | No Billing
Select "No Billing" as the Billing Method on the Markup/Transaction Codes tab when the vendor will never bill the property for work orders.

System

Protobase Configuration | Do Not Print Merchant Number on Receipt
When checked, the merchant number is not printed on the receipt.  When unchecked, the merchant number in Field 1005 of the Protobase.OUT file is printed on the receipt.

IRM.Net

Configuration | Owners Tab | General | Hide Work Order on Owner Menu (Removed in later version)
When checked, the Work Orders option is not displayed in the Owner menu.
Configuration | Owners Tab | General | Hide Bills on Owner Menu (Removed in later version)
When checked, the Bills option is not displayed in the Owner menu.

Reporter

Stats Folder | New Reports
Two new reports have been added to the Stats folder.  The RoomForecastbyGenCat-GuestCount.rpt and RoomForecastbyGenCat-RecapGuestCount are similar to RoomForecastByGenCat reports but include guest counts as in DOS 360 reports.

Help

Revisions
Help has been updated to accommodate Revisions 2.024, 2.025, 2.026, 2.027, and 2.028.
CRM Web | Customization

IRM.Net | Configuration
