IRM Configuration Options -Pre-Assign vs. Inventory

The IRM also defines the method for booking Internet reservations.  The two options are pre-assign and inventory.  These terms are defined below.

Reservation Type Definition
Pre-Assign The Internet guest selects a room number while booking the reservation.
Inventory The Internet guest selects only a room type (i.e. - KING) while booking the reservation.

Fields in the "Reservations" section that deal with the reservation method are listed below.

Warning:  When the IRM is configured to reserve by unit number it is critical to limit the number of guest search criteria so the guest does not see, "no available rooms match all guest search criteria".   See: KI0058

Always Assign a Room Number

With "Always Assign a Room Number” checked, pre-assign reservations are made.  While in pre-assign mode, the option for “Auto Assign a Room Number” or “Guest Chooses Room Number from Available List” can be selected.  Using “Auto Assign”, the room number is assigned based on the first available room number found for the selected room type (room number sequence).

Display Room Number throughout IRM

With this feature activated, the room number selected by the guest is displayed throughout the reservation process.  Many properties do not display the actual room number to the guest in order to simplify room moves.

Start with Search Page Instead of Access Type

This option should only be activated by properties with the following IRM configuration:

With this feature activated, the standard "Access Type" page displayed when an Internet guest visits the IRM is replaced by a "Search" page with the following options:

Each option is described below.

Display Specials and Featured Rooms

This option is unique to the "Search" IRM configuration.  When an Internet guest selects this option, the IRM displays only rooms that are flagged as "Specials".   A room is flagged as having a "special" in the "Configure Rooms" page. Once the Internet guest views property specials, he or she may view a room calendar and then make a reservation for a specific room. After viewing the calendar and selecting the option for making a reservation, the IRM displays the "Access Type" page.   Here, the guest selects the option for "New Guest" or "Existing Guest".  Next, the IRM prompts the Internet guest for an arrival and departure date, a rate, and personal information.

Search by Selected Requirements

This option allows the Internet guest to view all rooms that match specific guest requests, regardless of arrival and departure dates.For example, an Internet guest can search for all two-bedroom units with a hot tub and a mountain view.  The IRM displays matching accommodations.  Next, the Internet guest can view a specific unit's availability calendar and make a reservation for the specific room.

Display a Specific Room Number

A great option for return guests is to display availability for a specific room number.  This option is useful for return guests that know a specific unit meets their needs.  After selecting this option, the guest will be prompted for a starting date for rate calculation.  If this switch is selected, rates will be displayed with the availability calendar. An alphabetized list of homes and their names are displayed on this screen to help guide the IRM guest. These names can be stored in RDPDOS, in field 3 of the unit master.

Display Hyperlink room list

By checking this hyperlink option the IRM will display the Unit Number and the Name associated with that number. This information is stored in RDPDOS on the unit master in field 3 which is the Maid's Note field.

 Use the Maid Comment ( Field 3 ) from Room Master as Room Name

The above field can be disabled to prevent the Maid's Note field from being displayed on the IRM. By checking the "Display Hyperlink Room List " the Room Number will only display when the Room List is displayed. 


 Show ONLY Rooms Page

Many condominium customers select this feature in order to skip the "Available Room Types" page.  With this configuration, an Internet guest searches for a room based on guest request fields.  The system displays room numbers that match the request, therefore by-passing the added step of first selecting a room type, i.e. - One-Bedroom.  In this configuration, sample guest request fields for a condominium customer may include:

This feature is only available if the "Guest Chooses Room from Available Rooms" feature is active.

Hide Room Type Choices on Room Listing Page
Show Pictures on Room Listing Page

Activate this feature in order to display pictures of specific room numbers.  This feature is only available in pre-assign reservation mode.  Please see the section titled "Customize the IRM Using Pictures and HTML" for more information regarding the use of images for describing room numbers.

Maximum Number of Rooms to Display

In order to speed up the available rooms display, the number of rooms displayed to the Internet guest can be limited.  The number of available rooms can be set between 1 and 99.
