IRM Configuration - Configuring Rooms

Search criteria are used by Internet guests in order to find a suitable room.  The RDP-DOS system contains nine standard guest request fields that are configured in the "IRM Options" page.  

            The  "Configure Room Option " is a custom feature and is applicable only in the IRM.

Using the "Configure Rooms" option below, an additional eight "search criteria" can be defined in the IRM. These search criteria are only applicable in the IRM and are available only to the IRM users, if configured, they are not valid in RDP-DOS as search criteria.

 

Adding Search Criteria

The following rules apply when adding additional search fields.

Starting Room Number and Number of Rooms

The "Starting Room Number" field determines which room number is displayed first on the page.  When adding search criteria, it is important to define each criteria for every room number.  The "Number of Rooms" field determines the number of rooms displayed on the page.  The maximum is 999.

Search Criteria Table

The "Search Criteria Table" includes the following fields.

Field Description
Room Number The current room number.  Each room number in the system should be configured for each search criteria.

Type The room type.

Minimum Stay Enter a minimum stay for a specific room number.   The "Minimum Stay" field is only active for a specific room if its value is NOT zero. Therefore, to deactivate this field for a room, make the value zero.

Maximum People Enter a maximum number of people for a specific room number.  The "Maximum People" field is only active for a specific room if its value is NOT zero. Therefore, to deactivate this field for a room, make the value zero.

Activate Specials This option only applies to properties with the following IRM configuration:

With the above configuration, the IRM home page displays an option for "Display Specials and Featured Rooms".  When an Internet guest selects this option, all rooms with a checkmark in this field are displayed.

In addition, the user-defined HTML file, XXXSpecial.htm, is displayed in the room description column.  This user-defined HTML file explains the room special to the Internet guest.  

Replace "XXX" with the actual room number.  For example, if there is a special for room number 101, save the file describing the special, 101Special.htm to the \IRM\UserHTML folder.

Search Field Enter the description for the search field.  For example, a new search criteria could be "Smoking".  The title for the search field is limited to twenty characters.

Active Enter a checkmark in the "Active" field if the search criteria is "turned on".  If the search field is not active, leave this field blank.

Selections Click the "Selections" link in order to add valid entries for this search field.  After clicking the "Selections" link, the "Configure Selections for Search Options" page is displayed.  Here, enter valid entries for this search field.  For example, the valid entries for the "Smoking" field are: Y and N

Note that the value for a search field can be a maximum of two characters.  However, the corresponding description can be up to twenty characters.

Once the valid selections are added, click the " Save" button, then the " Exit  Button. In order to delete an existing selection, click the "Delete" box to the right of the selection and click the "Save" button.

Configure each room, under the selection tab, enter the value ( 2 digit code ) associated with that particular selection.

 

Configuring the Internet Reservation Module

The Internet Reservation Module (IRM) allows Internet guests to make reservations directly into the RDP system without involvement from the property’s reservation staff.  This section provides links to instructions for configuring the IRM after the Windows 2000/2003 bridge server has been installed.  

Remember to backup the C:\Inetpub directory every day on the IRM server to avoid losing important files and pictures.  See Backup for more details.
