USER-DEFINED HTML AND TEXT FILES

The IRM includes several HTML and text files that are customized to suit individual property needs.  Most HTML and text files display at the top and/or bottom of each page.  For example, the "Search for Rooms" page displayed below contains text included in the user-defined file "Rooms1.htm".

 

Files that can be customized are stored in the \Inetpub\wwwroot\IRM\UserText folder.  As part of the IRM installation, the files contained in this folder are updated to reflect property-specific information and policies.  To use multiple languages, add a  "Country" Parameter on the default.asp URL to specify the country.  The URL would look like: "default.asp?Country=Japan".  This would change the folder above to be \JapanUserText.

User-defined HTML and text files are listed below.  The listing is in the order an Internet guest views the pages while booking an Internet reservation.

Use Microsoft FrontPage to create and/or change IRM HTML files.  Any text changer, including "Notepad" can be used for changing IRM text pages.  See for a list of files used in RDP's IRM.NET.

User Defined HTML Description
NewGuestLabel.htm The initial IRM page includes options for making a "New Guest", "Existing Guest", "Travel Agent",  "Group", or "Owner" reservation.  To modify the "NewGuest" text change NewGuestLabel.htm file located in the IRM/UserText folder.  An HTML label file also exists for Existing Guest (RetGuestLabel.htm) Groups (GroupLabel.htm) Owners (OwnerLabel.htm) , Travel Agents (TALabel.htm) and Brochure Requests (BrochureLabel.htm). 
NewGuest.htm The NewGuest.htm file describes this reservation type. 

RetGuest.htm The initial IRM page includes options for making a new "Guest", "Existing Guest", "Travel Agent",  "Group", or "Owner" reservation.  The RetGuest.htm page is displayed on the initial "AccessType" page for describing this reservation type.  Normally, this option includes information about "frequent guest" programs or special "Internet Booking" rates.
RetAgent.htm The initial IRM page includes options for making a new "Guest", "Existing Guest", "Travel Agent",  "Group", or "Owner" reservation.  The RetAgent.htm page is displayed on the initial "AccessType" page for describing this reservation type.  Normally, this page includes information specific to travel agents, for example booking rules and commission rates.
RetGroup.htm The initial IRM page includes options for making a new "Guest", "Existing Guest", "Travel Agent",  "Group", or "Owner"  reservation.  The RetGroup.htm page is displayed on the initial "AccessType" page for describing this reservation type.  Normally, this page include information specific to groups, for example booking rules or a contact number for the group sales department.
Comment9Label.htm The "Frequent Guest " option will only display on the IRM if the Frequent Guest Module is installed in RDP.  The frequent guest ID number is stored on the reservation in comment field number 9 in RDP-DOS.  By changing this Comment9Label.htm, the property can assign a unique description for their frequent guest program.
Brochure.htm The Brochure.htm page is displayed on the initial "AccessType" page for describing brochure requests.  Normally, this page includes information pertaining to what the guest will receive by making a brochure request.  This option only appears if the Frequent Guest Module is installed in RDP.
AccessType1.htm AccessType1 displays at the top of the "Access Type" page.  The "Access Type" page contains options for "New Guest", "Existing Guest", "Travel Agent", "Group", and "Owner" reservations.
AccessType2.htm AccessType1 displays at the bottom of the "Access Type" page.  The "Access Type" page contains options for "New Guest", "Existing Guest", "Travel Agent",  "Group", and "Owner" reservations.
AccessID1.htm The first page displayed in the IRM is the "Access Type" page.  This "Access Type" page contains options for "New Guest", "Existing Guest", "Travel Agent", "Group", and "Owner" reservations.  After selecting the option for "Existing Guest", "Travel Agent", "Group", or "Owner", the AccessID.htm page displays above the login screen. 
AccessID2.htm The first page displayed in the IRM is the "Access Type" page.  This "Access Type" page contains options for "New Guest", "Existing Guest", "Travel Agent", "Group", and "Owner" reservations.  After selecting the option for "Existing Guest", "Travel Agent", "Group", or "Owner", the AccessID.htm page displays below the login screen.
VerAgent.htm After selecting the "Travel Agent" IRM option and successfully logging in, a verification page displays travel agent information and, optionally, active and non-active reservations booked by the agent.  VerAgent.htm displays at the top of this page.
Agent1.htm After selecting the "Travel Agent" access option and successfully logging in, the "Agent1.htm" page displays below the VerAgent.htm page.  This is an optional page that contains additional travel agent booking information.
Agent2.htm After selecting the "Travel Agent" access option and successfully logging in, the "Agent2.htm" page displays at the bottom of the VerAgent.htm page.  This is an optional page that contains additional travel agent booking information.
VerGroup.htm After selecting the "Group" access option and successfully logging in, a verification page displays group information and reservations.  The VerGroup.htm displays at the top of this page.
Master#_Top.htm After successfully logging in as a Group or Travel Agent, a customizable file can be displayed for each agent or group.  The files are named "Master#_Top.htm", for example the group IBM would see the file IBM_Top.htm.  Group files are saved in c:\inetpub\wwwroot\irm\usertext\groups, and travel agent files are stored in c:\inetpub\wwwroot\irm\usertext\travelagents.  IRM Revision 2-129 or higher is required for these files to display.
Master#_Bottom.htm After successfully logging in as a Group or Travel Agent, a customizable file can be displayed at the bottom of the page for each agent or group.  The file will be displayed below the verification information.  The files are named "Master#_Bottom.htm", for example the group IBM would see the file IBM_Bottom.htm.  Group files are saved in c:\inetpub\wwwroot\irm\usertext\groups, and travel agent files are stored in c:\inetpub\wwwroot\irm\usertext\travelagents.  IRM Revision 2-129 or higher is required for these files to display.
Group1.htm After selecting the "Group" access option and successfully logging in, the "Group1.htm" page displays below the VerGroup.htm page.  This is an optional page that contains additional group booking information.
Group2.htm After selecting the "Group" access option and successfully logging in, the "Group2.htm" page displays at the bottom of the VerGroup.htm page.  This is an optional page that contains additional group booking information.
GroupNumberLabel.htm The prompt for the Group Number on AccessID.asp can be changed to the text you would like.  The default prompt is "Group Number".  For example,  this prompt can be changed to "Group Code".
AgentNumberLabel.htm The prompt for the Travel Agent Number on AccessID.asp can be changed to the text you would like.  The default prompt is "Agent Number".  For example,  this prompt can be changed to "Agent Code".
GuestNumberLabel.htm The prompt for the Existing Guest Number on AccessID.asp can be changed to the text you would like.  The default prompt is "Guest Number".
OwnerNumberLabel.htm The prompt for the Owner Number on AccessID.asp can be changed to the text you would like.  The default prompt is "Owner Number".
InvalidAgentNumber.htm When the guest inputs the wrong Travel Agent Number, the default message is "Invalid Agent Number", as displayed below.  This text can be changed to display a different message.
InvalidGroupNumber.htm When the guest inputs the wrong Group Number, the default message is "Invalid Group Number".  This text can be changed to display a different message.
GroupAccess1.htm If the Prompt for Corporate or Individual feature is activated, the GroupAccess1.htm page displays above the "Corporate or Individual" box.  A sample is displayed below.
GroupAccess2.htm If the Prompt for Corporate or Individual feature is activated, the GroupAccess2.htm page displays below the "Corporate or Individual" box.  A sample is displayed above.
Individual.htm Individual.htm displays as the description for an "Individual" reservation in the Corporate or Individual box.  This descriptive file is only required if the Prompt for Corporate or Individual feature is activated.
GroupCorp.htm GroupCorp.htm displays as the description for a "Corporate" reservation in the Corporate or Individual box.  This descriptive file is only required if the Prompt for Corporate or Individual feature is activated. 
VerGuest.htm After selecting the "Existing Guest" access option and successfully logging in, a verification displays guest information and reservations.  The VerGuest.htm page displays above this information.
Guest1.htm After selecting the "Existing Guest" access option and successfully logging in, the "Guest1.htm" page displays below the VerGuest.htm page.  This is an optional page that contains additional returning guest information.
Guest2.htm After selecting the "Existing Guest" access option and successfully logging in, the "Guest2.htm" page displays at the bottom of the VerGuest.htm page.  This is an optional page that contains additional returning guest information.
ResInq1.htm The ResInq1.htm page displays when an existing guest, travel agent, group, or owner selects the option for displaying existing (past or future) reservations.  Presently, the IRM can be used for booking new reservations.  Changes to existing reservations can only be made by contacting the property.
Deposit.htm In order for this page to display, the feature for Show Only Rooms Page on the IRM Options page CANNOT be selected.  As long as this feature is NOT activated, the Deposit.htm page displays above the "Available Room Types" page.  Normally, this descriptive file contains deposit rules.
Dates1.htm In order for this page to display, the feature for Show Only Rooms Page on the IRM Options page CANNOT be selected.  As long as this feature is NOT activated, the Dates2.htm page displays at the top of the "Available Room Types" page.
Dates2.htm In order for this page to display, the feature for Show Only Rooms Page on the IRM Options page CANNOT be selected.  As long as this feature is NOT activated, the Dates2.htm page displays at the bottom of the "Available Room Types" page.
NoRoomType1.htm

 

This HTM file can be changed to include links or other information when no rooms types are available at the property.  Resorts that include multiple properties should utilize this feature to include links to other properties within their resort when 1 resort is completely sold out.  Properties using Inventory method of room selection should: 

  • In Monitor, check Hide " Not Available Rooms or Room Types"
  • Uncheck Always assign a room number (Set up IRM to use inventory reservations)

NoRooms1.htm

Properties that allow the Internet guest to select by room or unit number should change this file with similar wording as the above screen.  This screen will only appear when the entire resort is completely sold out to the Internet Guest.  Properties using Pre-assign method of room selection should: 

  • In Monitor, check "Hide Not Available Rooms or Room Types"
  • Check "Always assign a room number" (Set up IRM to use Pre-assign reservations)
  • Check "Guest chooses room from available rooms"
  • Check "Show Only rooms page (Skip Room Type Listing page)"

 

Rooms1.htm

Rooms1.htm displays at the top of the "Search for Rooms" page.  A sample "Search for Rooms" page is displayed below.

 

Rooms2.htm

With the Show Only Rooms Page feature activated, the Rooms2.htm descriptive file displays after the "Search for Available Rooms" button on the Search for Available Rooms page.  The "Search for Rooms" page includes the following fields:

  • Arrival Date;
  • Departure Date;
  • Number of Nights;
  • Number of People;
  • Room Type; and
  • Guest Requests.
Rooms3.htm With the Show Only Rooms Page feature activated, the Rooms3.htm descriptive file displays below the Search for Rooms page.  If the IRM finds a "Rooms3.htm" file, Rooms2.htm is NOT displayed.
ResRules1.htm If a deposit is required, ResRules1.htm displays at the top of the reservation entry form.  The Internet guest enters name, address, phone, and e-mail information on the reservation entry form.  This descriptive file can include rules about the reservation entry form.  For example, alert Internet guests of required fields such as State, E-Mail, Guest Name, etc.
ResRules2.htm If a deposit is NOT required, ResRules2.htm displays at the top of the reservation entry form.  The Internet guest enters name, address, phone, and e-mail information on the reservation entry form.  This descriptive file can include rules about the reservation entry form.  For example, alert Internet guests of required fields such as State, E-Mail, Guest Name, etc.
ResWaitList.htm If a Wait List request is made, ResWaitList.htm displays at the top of the Wait List Request form.  The descriptive file can include Wait List policies and procedures.
BrochureInfo.htm If a Brochure Request is made, BrochureInfo.htm displays at the top of the Brochure Request form.  The file can include information about mailing lists, brochures, and using the existing guest option in the future.
ResRulesTA.htm ResRulesTA.htm displays at the top of the reservation entry form for travel agent reservations.  This page replaces ResRules1.htm or ResRules2.htm during travel agent bookings.  The Internet guest enters name, address, phone, and e-mail information on the reservation entry form.  This descriptive file can include rules about the reservation entry form.  For example, alert Internet guests of required fields such as State, E-Mail, Guest Name, etc.
ResPW1.htm Some IRM customers have mistakenly thought that the "enter password " field is a password that is required to MAKE the reservation, not a password required to access it later.  This field is now optional on the reservation form however you can create a password  to inquire on your reservation(s) later using the on-line "returning guest" option." Use ResPW1.htm to add additional instructional information for the IRM guest.

Comments.htm Comments.htm is displayed above the Comments or Requests box.  Properties can utilize this HTM file to pose questions or make suggestions on the type of comments they are interested in gathering.  These comments will be stored on the reservation under F6 notes.

GuestReq.htm GuestReq.htm displays above the guest request fields.  Properties can utilize this HTM file as a disclaimer to re-iterate to the IRM client that guest requests are not guaranteed, the property will try its utmost to accommodate the needs of the client.

CCard1.htm After the reservation entry form, CCard1.htm displays above the page that confirms the charge card information.
CCardid1.htm CCardID1.htm only displays if SDC is installed and activated on the IRM.  Our default files display the following instructional text: ** "The Card ID is required for American Express, Discover, MasterCard and Visa charge cards.  It is the 3 or 4 digit number on the back of the charge card." Properties who do not take American Express can modify this text accordingly.

CCardRetry.htm If an Internet guest's charge card is NOT processed, CCardRetry.htm displays above the page that notifies the guest that the IRM is attempting to process the card a second time.
Confirm1.htm After the Internet guest completes his reservations, the IRM displays a confirmation page.  Confirm1.htm is at the top of this page and may include text thanking the guest for the reservation and describing cancellation policies.
EmailConfirmTop.txt The text entered in this file is included at the top of the e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.
EmailConfirmBottom.txt The text entered in this file is included at the bottom of the e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.
EmailOwnerConfirmTop.txt The text entered in this file is included at the top of an owner e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.
EmailOwnerConfirmBottom.txt The text entered in this file is included at the bottom of an owner e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad. 
EmailGofOwnerConfirmTop.txt The text entered in this file is included at the top of an Guest of owner e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.
EmailGofOwnerConfirmBottom.txt The text entered in this file is included at the bottom of an Guest of owner e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.

The text entered in this file is included in the brochure request e-mail confirmation.  Please note that this is a text file.  Please change this file with a text changer such as Notepad.  IRM Revision 2-129 and the RDP Wait List module are required to use the Brochure Request feature.
BackupOn.htm While the IRM is down for system maintenance, i.e., to reset availability or perform a tape backup, the Internet guest is redirected to this page.  Many times, this page displays a message alerting the Internet guest that the reservation system is temporarily down and may include the property's direct reservation telephone number.

Rate Plan Descriptions

User HTML files can be created to store Rate Plan and Package requirements. Prior to IRM revision 2-085, this text was stored in RDP-DOS under the F6 notes on the Rate Plan. Properties using multiple languages on their IRM can use this feature to create multiple User HTML files. In FrontPage, create a file called xxxx.htm where xxxx represents the 4 digit Rate Plan code example Rate Plan RACK would require a RACK.HTM file. Save this file on the IRM server in c:\inetpub\wwwroot\irm\userHTML folder.

Block Reasons

If dates are selected that are blocked from the IRM (using "Block IRM" from IRM Options), a standard message is displayed.  In addition, a HTML file can be created for each date block to display more information about why the dates are blocked.  The file name is defined by the property, but must be entered in "Block IRM" in the field for "HTML Help File".  The file must be saved in c:\inetpub\wwwroot\irm\usertext\blockreasons.  In the example below, XMAS.htm will display if a guest tries to make a reservation between 12/20/02 and 1/10/03, MEMDAY.htm will display if dates are selected between 5/25/03 and 6/2/03.

Configuring the Internet Reservation Module

The Internet Reservation Module (IRM) allows Internet guests to make reservations directly into the RDP system without involvement from the property’s reservation staff.  This section provides links to instructions for configuring the IRM after the Windows 2000/2003 bridge server has been installed.  

Remember to backup the C:\Inetpub directory every day on the IRM server to avoid losing important files and pictures.  See Backup for more details.
